Your Footage & Files: Video & Audio Submission Guidance

Please upload all video files requiring editing, color correction, or grading, along with supporting audio assets (dialogue, music, SFX, voiceover, etc.). To ensure the highest quality results and a streamlined workflow, follow the organization and format recommendations below:
📁 Folder-Based Structure (Strongly Recommended)
Place all files inside a main project folder, clearly labeled as:
ProjectName_Assets_Date
(Example: EverlightPromo_Assets_2025-05-25)
Within the main folder, organize assets into subfolders by media type:
- Video/
- Audio/
- References/ (e.g., FrameBank mood boards)
- Transcripts/
- CueSheets/
- Documents/ (scripts, notes, release forms, etc.)
Only upload individual files if you’re submitting one or two items. Otherwise, use folders to keep assets organized. A clear folder structure helps maintain a smooth and efficient workflow.
🎞️ Preferred Video File Types
Formats:
- Apple ProRes 422 HQ,
- ProRes 4444
- DNxHD / DNxHR
- H.264 (high bitrate), H.265 (10-bit)
- CinemaDNG, BRAW, EXR (for VFX)
Container Types:
.mov, .mp4, .mxf, .braw, .dng, .exr
Resolution:
- Use the native/original resolution (4K or UHD preferred)
- Do not upscale footage
Frame Rate:
- Use the original camera frame rate
- Include frame rate information in the filename or metadata when possible
Camera Type and Color Profile:
- Specify the camera model used on set (e.g., Sony FX6, RED Komodo, DJI Air 3)
- If footage is LOG or RAW, include the camera profile (e.g., S-Log3, D-Log, C-Log, V-Log, REDLogFilm)
- Include any sidecar LUTs if applicable
- If not LOG or RAW, specify the color space used (e.g., Rec.709, Rec.2020, sRGB)
Sync Notes:
- If audio was recorded separately, include a visible slate clap or audio sync marker
- Document sync details clearly in a readme.txt or similar
🎧 Preferred Audio File Types
Formats:
WAV (24-bit, 48kHz preferred)
AIFF, FLAC
Avoid MP3 unless used strictly for reference
Types of Audio Assets:
- Dialogue tracks (isolated if possible)
- Voiceover / Narration
- Ambient / Room tone
- Sound effects (optional)
- Music (licensed or reference)
Multitrack / Submix:
If submitting multitrack audio (e.g., from a podcast, Zoom, or studio), provide individual stems
Label each file clearly:
VO_TalentA.wav, Ambience_Forest.wav, SFX_Impact01.wav
📌 Additional Recommendations
- Use consistent, descriptive file naming:
Scene03A_MasterCam_DLog.mov, VO_MainTalent_Take2.wav - Compress multiple assets into a .zip or RAR file when uploading
- For uploads over 50 GB, use Frame.io, Dropbox Transfer, or Google Drive
💼 AVAir Submissions (Exception)
If submitting through AVAir, separate folders are not required because the platform includes a built-in folder structure for organized asset management.
Simply assign files to the appropriate Deck card and use relevant tags to ensure everything is properly identified and accessible within the project workflow.
